If you've been running a year-round hard close routine, the final period before R14 should feel like tightening bolts that are already mostly in place, rather than a last-minute scramble. In this article, we share a condensed version of that final stretch, the R11 to R14 window, pulled from our Hard Close Survival Guide, updated for 2026, for anyone who wants the checklist without the full read.
Earlier in the year, the goal is building good habits including structure, validation rules, and monthly report checks. By R11, the goal changes as every change you make to your data from this point is now a potential risk rather than an improvement. That's why this phase is about locking things down rather than opening new ground, and it’s advisable to freeze earlier than feels necessary.
Core tasks:
If you deliver Apprenticeship Units: This is also when you'll want to check the Cross Year Indicative Payments Report (issued at R12). Sweep specifically for units where milestone 1 has been claimed but completion evidence is still missing as these are the records most likely to slip through if you wait until R14 to check them.
Quick tip: Build in a formal data freeze around a week ahead of the deadline, so that you are testing a stable submission rather than one that's still shifting under you. Make sure your entire team knows the freeze date well in advance, it's much harder to hold the line if people find out at the last minute.
By this point, the goal isn't to fix things, it's to confirm them.
Once submitted, don't skip the internal debrief as a short session with your team that captures near-misses and lessons learned costs an hour now and saves considerably more than that next year.
Even mature, well-organised teams get caught by a handful of silent risks that don't always make it onto a standard prep checklist. Here are some areas worth a check during R11-R13:
Customers who've built compliance checks into their routine describe the difference it makes. Tracy Clement, Apprenticeship Director at Supporting Education Group, said Bud's workflows, "which are designed to drive compliance, were really important to us" when choosing a platform. Laura Moore, Head of Data, Funding & Compliance at Raise The Bar, put it simply: "I knew [with Bud] the data I needed would be accurate, and I knew exactly how to access the evidence. I'm absolutely thrilled to say there were 0% errors."
If something doesn't look right in these final weeks, it's worth remembering that most providers have hit the same issue before. Peer-to-peer forums, your own compliance network, and your platform's support team are all there for exactly this period, a quick question answered in R13 is a lot cheaper and simpler to rectify than an unresolved one in R14 week.
None of this is complicated in isolation, however, the difficulty is doing all of it, consistently in a compressed window. If your monthly returns have been accurate and evidenced all year, R14 really can just be the formality it's supposed to be - which is a confirmation of work already done.
